OFFICE MANAGER
Location – Cluj-Napoca
Role: The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. He contributes to the business efficiency by providing personalized and timely support to executive members. The Office Manager reports to the Executive Director and has have strong people skills, while being able to manage a wide variety of administrative and clerical tasks, be proficient with organizing people’s tasks and report projects status.
Essential Functions:
• Manage and coordinate office operations;
• Coordinate and ensure that reporting requirements are fulfilled as specified;
• Coordinate back-office integration activities and ensure they are carried out in accordance to agreed standards and deadlines;
• Proactively manage, coordinate and organize activities and schedules for the Executive Director, including meetings and correspondence;
• Develop and maintain knowledge of strategic partnerships, community organizations, institutions and relationship with the customers;
• Supervision of project tasks and deadlines of the entire team, and report the results to the Executive Director;
• Administer facility maintenance contracts including cleaning, security, repairs etc.; solve office-related malfunctions and respond to requests or issues;
• Oversee coordination of schedules, efficient work distribution and relief needs as required;
• Create and update records ensuring the accuracy and validity of information;
• Prepares financial statements, reports, invoices or other documents;
• Manages information flow in a timely and accurate manner;
• Schedule and plan meetings and appointments;
• Acts as the point of contact among the Executive Director, clients and other external partners;
• Manage company’s social media accounts;
• Manage the relationship with partners (Bookkeeping provider, Lawyers etc).
Qualifications, Knowledge, Skills and Abilities required:
• 3-5 years’ experience as an administrative or customer related roles or Project Manager;
• Bachelor’s Degree;
• Proficiency in English;
• Ability to take initiative, problem solve and make decisions within job scope
• Schedule management skills;
• Highly developed minute-taking skills and ability to develop appropriate actions;
• An understanding and experience of a fast-moving workplace environment, superior written and oral communication skills;
• Strong track record of customer service and effective people skills in a human service or healthcare environment;
• Good understanding of processes, policies and procedures required for supporting a company;
• Excellent time management and organizational skills with strong attention to detail;
• Ability to work well and multi-task without supervision.
