Psihoselect is recruiting for a multinational partner company, specialized in automation for the following position:
OPERATIONS SPECIALIST
Location: CLUJ-NAPOCA
Role: The Operations Specialist will ensure the daily functioning of the sales orders and logistic operations, implement and maintain administrative procedures, and align local operations with European guidelines. Regular reporting to the Operations Manager; team player with the local operations team and from European HQ.
Essential Functions:
- Responsible for creating sales orders, purchase orders, quotations, printing out packing slips, packaging/shipping good, daily logistics organization;
- Registration process of new customers, maintenance of existing customer database;
- Develop, implement, manage, and improve robust administrative and operational procedures – using ERP systems;
- Continuous development of the internal procedures related to sales projects;
- Implement and maintain inventory control procedures to ensure accurate tracking of stock;
- Perform administrative tasks related to the business of the company;
- Generate and send sales invoices accurately for spare parts and products, credit notes;
- Issue invoices for services and trainings;
- Collaborate with the Finance department when is necessary;
- Communicate with the Sales and Logistics teams to ensure accurate and prompt shipping of orders;
- Communicate daily with the service department regarding scheduling and shipping spare parts for coming service interventions, clarifying technical specifications;
- Support Supply Chain or wider operational activities if needed;
- Ensure the back-office is well-stocked with necessary supplies, including refreshments, spare parts, and packing materials;
- Communicate with suppliers and logistics providers to manage the supply chain efficiently;
- Negotiate contracts and terms with the suppliers/forwarded companies to secure favorable deals;
- Administration and follow-up of Service and Training provided by technicians;
- Maintain regular communication with the European Headquarter and/or other subsidiaries;
- Facilitate information flow and collaboration between the Cluj Office and other locations;
- Maintain organized records of all contracts, agreements, and related documents.
Qualifications, Knowledge, Skills and Abilities required:
- + 2 years of relevant working experience in similar positions: Warehouse Specialist, Back-Office Sales, Purchasing Specialist, Sales Support, Order Specialist, Logistics Specialist, Demand Specialist or others;
- Bachelor’s degree in Economics, Business Administration or related fields;
- English – Conversational level.
- Ability to work independently and proactively;
- Good analytical thinking and problem-solving skills;
- A proactive and positive attitude towards teamwork, with a focus on achieving collective success;
- Good knowledge of Microsoft Office or ERP systems (SAP is an advantage);
- Basic knowledge of accounting treatments (OPEX/CAPEX/COGS) – advantage.
