Psihoselect performs the recruitment process for a partner company specialized in sales and distribution of food products, for the following position:
ASSISTANT MANAGER
LOCATION: CLUJ-NAPOCA
Role: The Assistant Manager represents an important role in supporting the daily operations of the manager or executive leadership team, ensuring smooth organizational efficiency and
facilitating effective communication within the company. The key-position role involves a variety of administrative responsibilities that contribute to the overall operational success of the company.
Essential Functions:
- Prepare and review operational reports and schedules to ensure accuracy and efficiency.
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures;
- Manages internal and external communication by handling incoming and outgoing
correspondence in a timely and professional manner; - Conducts price analysis and cost comparisons to optimize procurement strategies and
ensure cost-effective decision-making; - Creates and manages pivot tables, dynamic reports, and financial overviews to analyze
trends and improve business processes; - Utilizes data visualization techniques to generate clear, actionable insights for
management and strategic planning; - Represents the manager in various meetings, discussions, or negotiations, providing
concise summaries and follow-up actions as required; - Prepare reports, letters and other documents, using word processing, spreadsheet and
database; - Ensures the accuracy and integrity of data by reviewing figures, identifying inconsistencies, and providing recommendations for cost optimization;
- Maintains accurate records and ensures proper document archiving, categorization, and retrieval for efficient information management;
- Coordinates and schedules meetings, business trips, and company events, ensuring
optimal time management and resource allocation; - Maintains and updates the manager’s agenda, ensuring timely follow-ups and conflict-free scheduling;
- Organizes and facilitates conferences, and client appointments, including preparing
agendas, distributing materials, and documenting key discussion points; - Utilize other relevant Excel tools to enhance and support the activities.
Qualifications, Knowledge, Skills and Abilities required:
- Minimum 3 years relevant working experience in similar roles;
- Bachelor’s degree in relevant field;
- English – advanced level;
- Italian – advanced level (Nice to have);
- Good written and verbal communication skills;
- Flexibility and adaptability;
- Strong organizational skills to manage tasks and coordinate activities;
- The ability to follow procedures in an accurate and timely manner;
- Ability to analyze data and information to support decision-making and improve
operational efficiency; - The ability to deal with and prioritize a range of ongoing tasks at the same time;
- Proficiency in using Microsoft Office programs (Word, Excel, PowerPoint, email) and
other relevant database programs.
